Client Executive – Event Travel

DEPARTMENT:  Event Travel team, Operations

LOCATION:  Remote / Attend Meetings as required

ROLE PURPOSE:   

Work as part of a team, to provide excellent service to delegates and customers requiring travel to and from meetings and events. Managing the travel requirements for an event from understanding a travel brief and offering suitable itineraries through to ticketing and final reconciliation. 

KEY RESPONSIBILITIES:  

  • Working from an Event brief and adhering to travel policy, SLAs and compliance to provide suitable travel options (air, rail and road) to delegates attending meetings and conferences around the globe 
  • Provide travel documentation for confirmed itineraries 
  • Provide support and assistance to travellers when required 
  • Undertake invoicing and final reconciliation for each event 
  • Manage workload effectively 
  • Assist the rest of the team in meeting client expectations  
  • Attend client meetings when required 
  • Attend product training and maintain a good level of supplier, aggregator, system and industry knowledge 

KNOWLEDGE AND SKILL REQUIREMENTS: 

  • Proven work experience in the corporate travel environment
  • Good GDS knowledge, and PC skills, especially MS Excel & Microsoft 365
    • Preferably Sabre or Galileo/Travelport
  • Experience with Atriis and other booking tools/supplier aggregators and portals is an advantage 
  • Excellent communication skills both written and oral 
  • Organisational and time-management skills 
  • Decision-making skills 
  • Ability to follow procedure and client compliance requirements 
  • Ability to work well as part of a team but also able to work independently when required 
  • Ability to work under pressure and prioritise workflow 
  • Confidence to own an event from start to finish
